Nordic Ocean Watch Denmark (NOW) processes personal information and we must comply with legal regulation and principles of good data processing. Therefore, we have adopted this privacy policy, which explains how we process your personal information.
We only process personal information to clear and objective purposes. We process personal information, which is relevant and necessary to fulfil the purposes stated below, and we will delete your personal information when the information is no longer necessary – or when you ask us to, if applicable.

The personal information we process and why
We only process your personal information for specific purposes, when we have a legal basis to do so. The legal basis to process personal information about you are:
That we as an organisation have a legitimate interest in processing your personal information, cf. art. 6(1)(f) of the GDPR.
That it is necessary to fulfil an agreement with you, cf. art. 6(1)(b) of the GDPR.
That applicable law requires us to process your personal information, cf. art. 6(1)(c) of the GDPR.
That you have given consent to the processing of your personal information, cf. art. 6(1)(a) of the GDPR.
Depending on your relation to NOW, we process the following information:
1. Ocean Watchers (members):
Ordinary personal information such as contact information i.e. name, address, telephone number, date of birth and mail address.
The purposes of processing information of Ocean Watchers are:
To process information about members – including that we are able to invite you to the general assembly or invite you to activities in the organisation.
To run the activities in the organisation, including planning, processing and follow up on activities.
To administrate your relation to the organisation.
2. Volunteers:
Ordinary personal information such as contact information i.e. name, address, telephone number, date of birth and mail address.
Other information such as position of trust and profession in relation to the organisation and bank account number.
The purposes of processing information on our volunteers are:
To coordinate and administer volunteer assignments in the organisation.
To have an overview of our volunteer staff and be able to develop experience and competencies.
To be able to pay transport, travel allowances, refund etc.
To administer your relation to the organisation.
3. Participants in NOW’s activities, competitions etc.
Ordinary personal information such as contact information i.e. name, address, telephone number, date of birth and mail address
When participating in NOWs’ events there will often be a photographer present in order to take pictures to report on the activity (see further information below regarding sharing of pictures)
The purposes of processing information on participants in NOW’s activities, competitions etc.:
To run the activities in the organisation, including planning, processing and follow up on activities.
We will often share pictures from the activity on our social media or on our website. Prior to sharing pictures, we will always collect your consent to share the pictures, and you are at any time entitled to request that you are not photographed, or that pictures of you are not shared after the activity. How we get your personal information
Normally, we receive the information from you for example if you use our contact formular on our website or if you sign up as an Ocean Watcher or sign up for an activity in the organisation. In some cases, there may be other sources, for example social media or other publicly available sites.
If we need your consent, we will ask you
When we process personal information about you it will often be based on another legal basis than your consent. We will therefore only ask for your consent, when it is necessary for us in order to process your personal information. If we ask for your consent, it is voluntary for you to give your consent, and you can withdraw your consent at any time by informing us hereof.
We will not disclose your personal information
We will not disclose your personal information to others outside NOW, without your consent.
We will delete your personal information, when the information is no longer necessary
We have different purposes for processing personal information and different periods for keeping the information depending on your relation to NOW; however, we will only keep your personal information as long as it is necessary for the purpose for which it has been collected.
Ocean Watchers: We delete information about you when your membership has ended.
Volunteers: We will delete information about you one year after your volunteer work has ended.
Participants in NOW’s activities, competition etc: We will delete information about you, when the information is no longer relevant, which is typically three months after an activity.
We will keep information in anonymised form on Ocean Watchers, volunteers and participants for statistical purposes etc. as long as they have a historic value.
This is your rights
When we process your information, according to the GDPR regulation you have the following rights:
You have the right to be informed that we are processing information about you – and this is what we inform you of in this privacy policy (the obligation to inform).
You have the right to request access to the personal data that we process about you (right of access).
You have the right to object to our processing of your personal data (right to objection) as well as the right to request restriction (right to restriction) or rectification of your personal data (right of rectification).
You have the right – in certain cases – to request erasure of your personal data (the right to be forgotten).
In addition, you have the right – with certain limitations – to receive your personal data in a structured, commonly used and machine-readable format (the right of data portability).

Should you contact us with a request to rectify or have your personal information erased, we will investigate if the conditions are met, and if this is the case, we will process the changes and/or erase the information as soon as possible.
